Privacy Policy

Draft for your review. Replace every [BRACKET] before publishing, and have the policy checked against the Kenya Data Protection Act, 2019 and the laws of any other country you launch in. Update it whenever the app's data handling changes (for example when AI features or subscriptions are added).

Selene is a notes and memory app. This policy explains what information the app uses, where it is kept, who it is shared with, and the choices you have.

1. The short version

2. Who we are

Selene is provided by Ruby Software Studio ("we", "us"). For data protection purposes we are the data controller for the information described in this policy. Contact: rubysoftwarestudio@gmail.com.

3. Information stored on your device

Notes and photos are encrypted using a key kept in your phone's secure hardware (Android Keystore).

4. Optional account

If you create an account we use Firebase Authentication (a Google service) to handle sign-in. It stores your email address and, if you use Google sign-in, basic profile details from your Google account. Passwords are handled by Firebase and are never visible to us.

5. Optional cloud backup

If you turn on Cloud backup, the text of your notes, lists and action items (title, text, category, tags, dates and links between notes) is stored in Google Cloud Firestore under your account, in [FIRESTORE REGION, e.g. Johannesburg, South Africa]. Security rules allow each account to reach only its own data. Photos and documents are not uploaded.

When you delete a note in the app it first goes to Recently deleted for 30 days. Deleting something for good removes it from your other devices too. A small deletion marker (containing no note text) is kept in the cloud for up to 30 days so your devices stay in sync, and is then removed.

6. Voice dictation

When you dictate, your phone's speech recognition service turns your voice into text. Depending on your device and language, this may happen on the device, or your audio may be sent to the service provider (usually Google) to be transcribed. Selene does not record or keep your audio; only the resulting text is saved in your note.

7. Crash reports

Selene can send anonymous crash reports using Firebase Crashlytics. They contain technical information (error details, device model, Android version, app version and an anonymous installation ID) and never include your notes. You can switch this off in Settings › Send crash reports.

8. Permissions

PermissionWhy
MicrophoneOnly while you dictate a note
CameraOnly when you take a photo for a note
NotificationsTo remind you when action items and notes are due (reminders are created on your phone)
BiometricsOptional fingerprint or face unlock for the app lock

You can change any permission at any time in your phone's settings.

9. Who we share data with

We do not sell or rent your data. We use Google services to run the app: Firebase Authentication, Cloud Firestore and Firebase Crashlytics, and your device's speech recognition service for dictation. They process data on our behalf under their own terms and privacy policies (policies.google.com/privacy and firebase.google.com/support/privacy). We may disclose information if the law requires it.

10. Where your data is processed

Cloud data is stored with Google in [FIRESTORE REGION]. Google may process data in other countries, which can mean information is transferred outside Kenya. Google applies contractual and technical safeguards to such transfers.

11. How long we keep data

12. Your rights and choices

In the app you can export your data (PDF or data file), turn off Cloud backup, delete your cloud backup, sign out, and delete your account (which also deletes your cloud backup). You can also write to rubysoftwarestudio@gmail.com to ask about the information we hold, to have it corrected or deleted, or to object to how it is used. Under the Kenya Data Protection Act, 2019 you have the right to be informed about the use of your data, to access it, to object to its processing, and to have it corrected or deleted. If you are unhappy with our response you may complain to the Office of the Data Protection Commissioner (Kenya) or the authority in your country.

13. Children

Selene is intended for people aged 18 and over and is not directed at children. [Adjust to match the target audience you choose in Play Console.]

14. Security

We use encryption on your device, HTTPS for all network traffic, and access rules that keep each account's cloud data private. No system is perfectly secure, so please keep your phone locked and your account password private.

15. Changes to this policy

If we change this policy we will update the date above and, for important changes, tell you in the app.
